How Common Empire collects, uses, and protects your personal information.

Common Empire(“we,” “us,” or “our”) respects your privacy. This policy explains what personal information we collect when you use our website and services, how we use it, and the choices you have. It applies to riders, members, event participants, partners, and visitors in the Ottawa–Gatineau region and beyond.

Information we collect

We collect information you provide directly, including:

  • Account & profile: name, email, phone, and password or single sign-on identifiers.
  • Event registration & waivers: details you enter to register or sign a waiver, including date of birth, address, emergency/guardian contacts, allergies, medical conditions, and your electronic signature.
  • Membership & payments: membership tier and, for paid transactions, billing details processed by our payment provider (we do not store full card numbers).
  • Communications: messages, inquiries, and email preferences.

We also collect limited technical information automatically, such as device type, browser, and usage data, to operate and secure the site.

How we use your information

  • Register you for rides and events and manage waitlists and check-in.
  • Process memberships, payments, and donations.
  • Record and store signed waivers and send you a copy.
  • Send confirmations, updates, and (with your consent) newsletters.
  • Provide member benefits, including partner deals and discounts.
  • Maintain safety, prevent fraud, and comply with legal obligations.

Service providers

We share personal information with trusted service providers only as needed to operate our services, including payment processing, email delivery, mapping and location services, and hosting. These providers process data on our behalf under appropriate safeguards. We do not sell your personal information.

Photos & video

We may capture photos and video at events for promotional purposes, as described in our waiver. You can contact us to request that an identifiable image of you not be used.

Data retention

We keep personal information for as long as needed to provide our services and to meet legal, accounting, and safety requirements — including retaining signed waivers as legal records.

Your choices & rights

You may access, correct, or request deletion of your personal information, and unsubscribe from marketing emails at any time via the link in the email or by contacting us. Depending on your location, you may have additional rights under applicable privacy laws.

Children

Minors may participate in our activities only with a parent or legal guardian who provides information and signs the waiver on their behalf.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the “last updated” date above.
